How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you when enquiring about hiring Cottered Village Hall.

We also receive personal information indirectly, from the security cameras located outside and in the foyer of the Cottered Village. Security cameras have been installed to ensure the security of the premises from theft, unauthorised access, or damage to the property.

We use the information that you have given us in order to secure the booking of the Village Hall and to contact you, if needed.

We may also share information provided with the Management Committee of the Cottered Village Hall Trust. We do not share the information provided with other third parties.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

• Your consent. You are able to remove your consent at any time. You can do this by contacting Elisa Bellomo (hallsec@cotte.red) or Tina Reed (hallhire@cotte.red)

• We have a contractual obligation.

• We have a legitimate interest.

How we store your personal information

Your information is securely stored.

We keep the printed filled booking form in a secure cabinet for the duration of your contract with us and for up to 1 year following termination. All digital files are stored in a password-protected laptop for the duration of your contract with us and for up to 1 year following termination. 1 year following termination of the contract, we will dispose your information by destroying any paper copy and by deleting any electronic version. We will also delete any email which contains any relevant data. 

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
